A financial services provider with products that include mortgage and collateral insurance to banks and credit unions, faced an overwhelming challenge in the mailroom the company needed to automate the sorting and shipping of 25,000 different customer forms. A trusted and proven vendor, SynTel even stepped in to fix another vendors mistake and helped the insurance company avoid reprogramming customer databases.
The Challenge
SWBC, a top 20 provider of insurance and financial products, faced enormous challenges in efficiently mailing statements for its mortgage and collateral protection insurance customers. The company, which provides insurance services to financial institutions, had more than 25,000 different formats for customer statements. SWBC needed a way to automate the sorting and mailing of these statements that reduced the resources time and people spent on mailings and the expense of postage.
The Solution
AutoMail serves as a mail pre-processor and verifies addresses, presorts the mailing, calculates and quantifies postage and reduces the work involved in preparing statements for mailing. Most users of AutoMail experience a 25 percent reduction in postage expenses. AutoMail also exceeds the regulatory demands of the Gramm-Leach-Bliley Act, the Sarbanes-Oxley Act and the Fair and Accurate Credit Transactions (FACT) Acts Red Flag Rules.
The Result
The impact AutoMail has had on SWBC has been twofold. First, using AutoMail has saved SWBC more than $100,000 per year for the past four years.
The hard dollar savings is the biggest benefit we see year in and year out, said Gregory Lawler, SWBCs Chief Information Officer. AutoMail has paid for itself many times over, and it keeps saving!
Second, SWBC has reduced the time and labor spent on preparing mailings. Unlike most of SynTels customers, SWBC has more than 25,000 forms that are white labeled for their bank and credit union clients. Customization is key to their business and easily handled by SynTel.

The Challenge
IBERIABANK Holding Corp. is a multi-bank financial holding company that aggressively pursues acquisitions of community banks to increase its footprint in the Southeast. One of the challenges of acquiring new banks is merging existing software and communication processes into one structure. Prior to 2005, IBERIABANK had challenges with control over image statements and the accuracy of their existing mail sorting workflow.
The Solution
IBERIABANK implemented AutoMail in 2005. County Government Needs Accurate, Affordable Mailing System
When it comes to providing essential services, county governments are often challenged to find cost-effective, but accurate, methods of billing and collecting on amenities such as sanitation or water. For Arkansas County, located in Southeastern Arkansas, the challenge is magnified by having to provide outstanding service with a relatively small staff.
The county turned to SynTels AutoMail® software in 2001 to automate the printing and mailing of the departments billing cycle. AutoMail serves as a mail pre-processor for companies mailing large quantities of customer statements and notices. The easily installed software verifies addresses, presorts the mailing, calculates and quantifies postage and reduces the work involved in preparing statements for mailing.
AutoMail saves us both time and money, said Ruby Allen, administrative assistant. The software sorts the bills into the right piles, codes it correctly and applies the appropriate postage. We have been able to simplify our mailing process without having to add any additional staff.
Automation Improves Accuracy by 85 Percent, Reduces Costs by 18 Percent
For Allen, who manages the billing process for the department, AutoMail provides the automation needed to improve accuracy, reduce expenses and cut the time spent on processing bills.
To mail our bills would cost about 28 cents per piece if we were to manually put everything together and use a meter, Allen said. With AutoMail, the mail is processed with the Intelligent Mail barcode, and our postage costs range from 20 to 23 cents per piece. Allen added that the savings add up over time, helping the county better utilize their resources.
AutoMail updates its address file regularly, helping us keep up with new and changed addresses, Allen explained. When we did addresses manually, it would be common to have as many as 50 address errors each cycle. AutoMail has cut address errors by 85 percent, drastically cutting the time I have to spend looking up and verifying the data.

Banner Bank is a Washington state chartered commercial bank headquartered in Walla Walla, Washington. The bank selected SynTel, LLCs MailStream Manager® in 2008 to keep up with the production and printing demands of increasing volumes of customer documents. The bank selected the software following nine years of successfully savings hundreds of thousands of dollars in postage with SynTels AutoMail®. Since using MailStream Manager in combination with AutoMail, Banner Bank has cut man hours needed to print notifications by an hour and a half each day and saved more than $169,000 in postage costs.

MailStream Managers single print stream process and integration with AutoMail provides the quickest turnaround for documents and, by aggregating data, we continue to benefit from automated mail discounts.
The Result
MailStream Manager automates processing and printer management, improving the productivity of Banner Bank staff. Rudolph and other bank executives like that the system operates throughout the night, printing notifications that staff members can immediately process the next morning.
MailStream Manager saves us more than an hour and a half every day by printing documents in the middle of the night for employees to get an early start on when they arrive each morning, said Rudolph. We would be hard-pressed to meet our local post offices deadline each day without AutoMail and MailStream Manager.
